Job Duties/Qualifications, Skills and Abilities(QSA)
Job Duties | 1.Communicate information regarding three distance School of Nursing programs, including admission requirements, course material, Prior Learning Assessment & Recognition (PLAR) and fees to prospective and current students, Saskatchewan Polytechnic faculty and staff, government departments, external institutions and agencies, and provincial licensing bodies (SRNA). 2.Generate class lists and application reports from Banner, and send out appropriate information to new and prospective students. 3.Maintain class lists and student progress tracking sheets, and compile reports on student numbers. 4.Prepare paperwork for course start-up, including section requests, booklists, orientation to distance education manual and student welcome information. 5.Assign testing sites and coordinate exam writing for students with Saskatchewan Polytechnic testing centres, provincial testing locations and other proctor sites across Canada and internationally. 6.Process PLAR applications. 7.Anticipate student numbers and ensure sufficient course material is available in the bookstore. 8.Organize labs, including booking facilities and classrooms; preparing information to send to students; and arranging Fit testing and photo ids. 9.Track student documentation required for clinical. 10.Prepare agency and employee service contracts. 11.Prepare student completion documents for registration services and licensing bodies. 12.Plan and organize meetings, including preparing agendas, arranging catering, and recording and transcribing minutes. 13.Assist with organizing approval visits and prepare required material. 14.Format, proof, edit and distribute correspondence, proposals and reports. 15.Manage electronic and archive files, and confidential student files. 16.Prepare submission for continuing education calendar, and ensure web pages and brochures are up-to-date. 17.Act as liaison between the program area and Saskatchewan Polytechnic service areas, including registration, bookstore, library, facilities, shipping, marketing and printing. 18.Order furniture and office supplies, creating purchase orders on FAST and tracking expenditures on department procurement card. 19.Perform in a multi-tasking environment with changing priorities. 20.Develop and streamline administrative processes and procedures to enhance productivity and provide efficient support to program head and faculty. |

Required Qualifications, Skills and Abilities (QSA) | 1. Grade 12 plus a recognized office administration certificate or an equivalent combination of training and experience which must include experience and/or training in minute taking. 2. Two years experience performing administrative and clerical work. 3. Training or experience at the intermediate level in the use of common software packages, i.e. MS Office Suite. 4. Knowledge of common office procedures. 5. Effective interpersonal skills. 6. Effective communication skills. 7. Effective organizational skills. 8. Effective proofreading skills. 9. Ability to work independently under generalized supervision. 10. Demonstrates valuing diversity. |
